Patient Participation Group (PPG) Meeting – Tuesday 9th January 2024

Welcome/Introductions and apologies:  JM welcomed all and informed the group that TB – PPG member sends her apologies.  JM also advised that he had contacted a potential new member to join the PPG however, has not had a response back.

Approval of Minutes from last meeting:  Slight amendment required in JM surname, otherwise approved.

Surgery Logo:  JC kindly presented 3 designs for the surgery logo, all agreed to use the logo all in green.  MI approved to use for surgery headed paper also.  JC to email design to LW

Action Required:  JC/LW

Covid Clinics: PPG members advised that all members of staff were friendly and welcoming when they were helping with the COVID/Flu weekend clinics.  PPG members found it beneficial helping with the clinics as they were supporting patients.

Translation posters: LW informed all posters/information are now placed around the surgery and are available on the surgery website also.

Update from Practice: 

Recruitment: 

Operations Manager:  LW updated all that we have an interview arranged for this role.

Receptionist/Administrator:  Advert for one part time receptionist/administrator will be published this week for 29.5 hours per

Advanced Nurse Practitioner:  MI updated all that unfortunately, we have been unsuccessful recruiting in to this role.  We are hoping that we may be able to recruit a Nurse Practitioner going forward through the Primary Care Network (PCN) and further discussions will be had with the PCN regarding this.

Dr Fanous:  Dr Fanous will be returning from maternity leave on 11th March and will be training to further support patients around family planning. 

Practice Website:  PPG members advised that they feel the new website is not inviting and is clunky. Although the surgery have very limited input regarding the design of the website, we can feed back to the provider.  It was also highlighted that any information that is no longer relevant (i.e. Autumn Booster COVID campaign), should be removed in a timely manner from the website.  HF will review the information available on the website and remove anything that has expired.

JM advised that he found booking an appointment via the website easy to do however, could not book for a certain GP to see for a follow up.

Also available on the website are names of clinicians and what they specialise in i.e. diabetes, asthma however, this is not immediately obvious to patients when navigating the website. 

PPG member suggested a FAQ section on website. HF to look into.

JM will email separately all feedback regarding the website to LW

NHS App:   MI/LW informed all that we will be promoting this to all patients to book appointments/view test results/order repeat medication.  This will free up some capacity on the telephone lines and is easier/more convenient for some of our patients. 

 

60% of our patients are currently using the app.

 

Waiting Room:   PPG members have spoken to patients who have suggested that the surgery has a selection of toys/books to be placed in waiting area to help occupy children when waiting for the clinician.   PPG members also informed that a privacy space for mums who are breastfeeding would be beneficial for some of the patients that would like privacy when breastfeeding. 

All agreed to proceed with the privacy screen and PPG members to advise where best placed in the waiting room. Unfortunately, due to infection control guidelines, the practice will not be able to offer toys.

PPG Minutes:  All minutes from 2023 will be added to new surgery website and all minutes going forward.

CQC:  All members updated that the CQC are likely to visit in the near future.  All members kindly agreed to support the practice where necessary during the visit. 

Pharmacy First:  From 31st January, there will be a new service being delivered by the Community Pharmacies to complete episodes of care for seven common conditions.  Patients will be able to self-refer.  All information regarding this service will be placed on the practice website and in the waiting area.
