Patient Participation Group (PPG) Meeting – Wednesday 4th October 2023

Welcome/Introductions and apologies: JM welcomed all and informed the group that TB – PPG member sends her apologies.
Approval of minutes from last meeting: Approved, no amendments required.
PPG: Recruitment and what the practice sees as the role of a PPG member: JM updated all that the PPG members have had a separate meeting and had agreed that they can act as a sounding board to provide feedback on patients' needs, concerns and interests and challenge the practice constructively whenever necessary, also helping patients to understand the practice viewpoint.
It was also agreed that the PPG would be able to offer support during the practices weekend COVID/Flu vaccination clinics by directing patients to the next available clinician and car park marshalling.
Discussion had regarding maximum number of patients to form a full PPG, all agreed 8. The group must also represent a diverse patient population.
All agreed that the Terms of reference template needs to be revised.

Updated from Practice:
1. Recruitment:
a. Advanced Nurse Practitioner/Nurse Manager: Still actively recruiting, no new applicants
b. Operations Manager: New role to help with the day to day running of the surgery
c. Receptionist/Administrator: Advert will be published in the New Year for one part time role.
2. Flu and COVID Season: Positive feedback from VR and JC regarding the clinic on Saturday 30th September. Future clinics will be on Saturday 7th October and Saturday 21st October (JC kindly confirmed she would be available to help on 7th and JM on 21st). SB thanked the members for their support.
3. Practice Website: LW updated all that we are now live with the new practice website. LW asked the PPG if they can navigate around the website and then provide feedback i.e. ease of use, is information easily accessible. VR asked if there was any support for visually impaired patients, LW informed she will enquire.

New Children and Young Person’s Mental Health Pathway: – Learning Space: SB updated all regarding a new service that is becoming available to our practice. SB advised that there is currently a shortage of Children and Young Person Mental Health Teams and the need for this has increased since Covid. With Learning Space, patients can be referred directly by the GP or patients can self-refer. SB advised we are currently awaiting further information. PPG to find out name of website where you can also communicate via text for support.

Translation service- LW updated all that the BIG Word is our service provider. Posters will be placed in the waiting room in different languages, to inform patients of this service.
Requests of Lanyards, name badges, stationery from PPG: All agreed that JM will order and practice will reimburse. The PPG will look at logo ideas and update the practice.

AOB:
NHS Surrey Heartlands: will be holding a large annual meeting for all PPG members from practices around the Surrey area, this will help with ideas and any feedback.
