Friends of Hawthorns (FoH) Meeting – Thursday 13th July 2023

Welcome/Introductions and apologies – Welcome to (JC) who is a newly appointed member of FoH
Approval of minutes from last meeting – roles next to names need adding and a couple of typo errors, LW to update and then circulate/update website
Action: LW
Recruitment to FoH’s: We have successfully recruited one member (JC), LW updated all that we may have another patient who has expressed interest and is wishing to join. The patient was invited to attend the meeting however, was unavailable.
Posters now in the waiting room and on the practice website informing patients we are actively recruitment to FoH’s
Updates from practice:
a. Recruitment:
a. LW updated all that we have successfully recruited two reception/administrators who will be joining the team on 31st July.
b. Advert out for Advanced Nurse Practitioner, no applicants as yet
c. Dr Fanous is currently on Maternity leave and Dr Chaudhury (f) is providing long term maternity cover
b. New practice Website: LW updated all that the current website is being decommissioned and we will go live with a new website in September. Patients will be advised 4 weeks before the go live date
c. Health Kiosk: LW updated all that the health kiosk is now available for patients to use and is located in the waiting room
How Green is the Surgery: LW/KM updated all that an energy assessment report was conducted within the last couple of months and overall, the surgery is more than satisfactory (i.e. loft is insulated, pipework insulation present, property is double glazed and LED lighting). The report highlighted the possible installation of solar panels however, they are unlikely to be viable due to the roof not being of southern orientation.
FoH’s members and (PPG) Handbook: JM asked KM/LW what is it that FoH’s can do for the surgery. KM informed all that it would be helpful if FoH’s could help to promote health campaigns (I.e. Shingles, Cervical Screening), support the practice/patients at the annual flu clinics e.g. car park marshall. LW informed all that we can refer to the PPG Handbook provided by ICB as a supportive resource.
It was agreed JM will arrange an additional meeting with FoH members before next meeting and the practice will put forward questions to FoH’s

Flu clinics: LW updated all that the annual flu clinics will likely be at the end of September/beginning of October and if any of FoH’s have availability, it would be greatly appreciated if they were able to support in any way they can. LW will confirm the dates of the clinics ASAP and when we have received firm confirmation of when the vaccine will be delivered.

Farewell to DB: David informed all that he will be stepping down as the chair of FoH’s. All thanked David for his hard work and input throughout the last couple of years, we will miss him dearly.
Minutes of meeting: JM asked if minutes could be distributed within one week of meeting. LW will aim for one week however, can be incredibly challenging due to other work commitments. LW informed all that it would be very helpful if a member of FoH’s would be able to take the minutes or appoint a secretary/coordinator.
