Medical Receptionist/Administrator Vacancy
Job Summary
We are looking for an enthusiastic, flexible part time receptionist/administrator to join our friendly busy GP practice.
The practice is forward thinking and offers a fast faced environment with an established team of receptionist/administrators who will be able to support in your new role.
You need to be able to demonstrate good communication skills and the ability to work to deadlines, alongside basic computer skills.
You will be the first point of contact in our busy GP Practice, ensuring all patients and visitors receive a warm and friendly welcome. As part of the team you will be responsible for the smooth running of reception, you will efficiently manage the patient flow, answer the telephone, manage patient requests via our website and be on hand to answer patient queries
We are able to offer the following shift pattern:
Monday: 0800 - 1230
Tuesday: 0815 - 1215
Wednesday: 1230 - 1930
Thursday: 0815 - 1215
Friday: 0815 - 1600
TOTAL Hours: 26.25 hours
PLUS additional flexible over time between 0800 - 1930.
Job Purpose:
Deliver a patient focused service at all times ensuring high levels of patient satisfaction
Key Responsibilities:
- Reception/Telephone
- Complete opening and closing procedures ensuring telephone systems are diverted appropriately and the premises are safe and secure
- Prepare consulting rooms for each consulting session in order to ensure clinicians have the appropriate forms and equipment for each session
- Keep the waiting room and reception area clean tidy and free of hazards at all times
- Acknowledge and greet patients at reception in a courteous and welcoming manner logging appointment arrivals on the system
- Monitor waiting times and keep patients informed of any expected delays and escalate to management if over a 30 minute delay
- Process on the day and future appointment requests from patients by telephone and in person
- Log and action urgent requests by inputting to the triage list
- Test urine specimens for all new and ante natal patients and for other patients as requested by GP’s and Practice Nurses
- Weigh and measure any patient as requested by a clinician
- Receive and register home visit requests, advising the patient when and how they will be contacted by a triage GP
- Plan and prepare forms for clinicians in preparation for forthcoming appointments. E.g. smears and bloods etc
- Action all messages from clinicians on the master messaging system on EMIS to ensure that all tasks are dealt with in a timely manner
- Respond to telephone request for appointments, results and requests from patients and other external organisations
- Make calls to patients, other GP practices and hospitals on behalf of clinicians when necessary

- Administration
- Process repeat prescription requests and complete necessary tasks for electronic prescribing
- Carry out tasks such as photocopying
- Open, date stamp, sort and distribute incoming mail to the relevant team or individual for action
- Scan and attach information to electronic patient records, coding specific information as necessary to ensure that information is accurately recorded
- Register new patients on the practice medical system ensuring full and accurate information is recorded in the appropriate fields
- Update patient records with changes of details including name, address and telephone numbers, Next of Kin etc.
- Complete a thorough handover at shift end to ensure that all messages and outstanding matters are dealt with by the end of day
- Adhere to all practice policies, procedures and protocols, ensuring compliance with CQC, Health & Safety, Confidentiality, Data Protection and Employment Legislation
- Be flexible during sickness/holidays of other team members and provide cover as required.
- Undertake projects and new initiatives as requested by the management team
